Rescheduled Exam Request (RER) Procedures
This page provides course instructors with a detailed account of the request process for rescheduled exams.
Before initiating an RER request, the instructor and the student must have agreed on a date and time within the Testing Center hours of operation for the rescheduled exam to be taken. Once an agreement on a date and time has been reached, the instructor should obtain forms and information regarding procedures and scheduling.
In order to schedule an RER at the Frost Campus Testing Center in Beracha Hall, an RER form for each exam to be taken at the Testing Center must be completed and submitted by the instructor to the Center at least with advanced notification of 48 business hours.
The Testing Center services are available Monday through Friday from 8:00 AM to 4:30 PM. Because the Testing Center is an optional supportive resource, exams cannot be scheduled earlier or later than the hours of operation. For exams that need to occur earlier than 8:00 AM or later than 4:30 PM, course instructors will need to either proctor the exam within the department or adjust the time of the exam to fit within the hours of operation.
On the RER form the instructor must indicate the following:
- the name and email of the student,
- course name and number,
- name and email of instructor,
- day, date, and time requested for the exam to be rescheduled,
- the actual date and time of the in-class exam,
- the length in minutes of the in-class exam,
- any special instructions or additional materials allowed during the exam,
- method of delivery of the exam to the Testing Center, and
- preferred method of contact if questions arise while the student is taking the rescheduled exam at the Center.
A completed RER form must be submitted by the instructor each and every time an RER is to be scheduled.
The process for RER can be completed by electronic mail. The responsibility for timely submission of the completed RER form falls on the instructor. Failure to submit the completed RER at least 48 business hours in advance of the rescheduled exam may require an adjustment to the rescheduled exam requested time or may result in a denial of the service. The completed RER form along with a copy of the exam may be emailed to firstname.lastname@example.org or may be hand-delivered to the staff at the Frost CampusTesting Center in Beracha Hall, Room 108. A copy of the exam, if not submitted together with the RER form, must be submitted to the Testing Center staff at least twenty four (24) hours prior to the scheduled exam time.
Confirmation of the scheduled RER will be emailed to the instructor at the earliest opportunity. If confirmation is not received, the instructor should contact the Testing Center to inquire whether the form has been received and the RER has been scheduled.
On the date of the rescheduled exam, the student should report at the scheduled time to the Frost Campus Testing Center in Beracha Hall Room 108. In order to check-in, the student must present the student identification card to the Testing Center staff. The student will be issued a key to a locker in which to place belongings.
If a student arrives more than 15 minutes after the exam scheduled time, the Testing Center staff will notify the instructor. Adjustments to the start time and overall time allowed will be determined by the Testing Center staff in consultation with the course instructor. Depending on the circumstances at the time of the rescheduled exam, students arriving late may forfeit some of the time allowed for the exam, or may lose the opportunity to take the exam as scheduled.
Students are expected to behave in accordance with the highest standards of academic integrity and to follow all Testing Center Guidelines posted at the Testing Center. Students may have access only to materials explicitly stated as approved by the instructor on the appropriate completed RER form.
Should a student be caught using materials not approved for the exam, the Testing Center staff will immediately stop the exam, collect or record the materials used, and will return the exam and other materials to the course instructor. The student will be referred to the course instructor, who will be responsible for handling the matter in accordance with course and academic unit policies.
In the event a question arises before or during a test, the Testing Center staff will attempt to contact instructors by phone or email. When inmediate contact is not possible, students will be given the opportunity to write questions or concerns on a note to be returned along with the completed exam to the instructor. Instructors who become aware of any errors, omissions, or necessary clarifications while students are taking an exam should email email@example.com or call 314-977-5176.
Assuming timely arrival at the Testing Center, the student will be provided with the time allowance as stated on the appropriate RER form to complete the exam. Once this time has elapsed the student must surrender the exams and appropriate materials to the Testing Center staff.
Once the student has completed the Rescheduled Exam, the Testing Center staff will collect the completed exam and appropriate materials to be returned to the instructor. Completed exams are delivered daily, Monday thru Friday, from 2:00 PM to 4:00 PM to the department mailbox of the instructor. Department mailbox information is ascertained through People Finder. Should an instructor require a completed exam prior to the 2:00 PM thru 4:00 PM delivery time, the instructor will need to personally retrieve the exam during the Testing Center regular hours of operation. Exams that are completed after the 2:00 PM delivery start time will be returned on the following business day between the hours of 2:00 PM and 4:00 PM.
