Reservations

If you are a student, faculty member or staff member, it’s easy to reserve an event space on campus using MySLU.

Before you begin the reservation process, please note that organizational meetings held by chartered student organizations do not require authorization signatures. All other student events require the approval of the organization’s adviser and the Division of Student Development. Reservations from external organizations are not accepted. 

Reserve Space Early

These University services require the following advance notice.

  • Grounds and Facilities - All requests are due 10  business days prior to the event date. This includes requests for outdoor space reservations, tents, banner hanging, electric power, outdoor furniture and disabling irrigation.
  • Public Safety - All requests are due five business days prior to the event date. This  includes requests for crowd control, building access, gallery security and events with alcohol.
  • Room Setups - Final schematics are due seven business days prior to the event date Changes will not be accepted after this deadline.
  • Audiovisual Equipment - All requests are due two business days prior to the event date.

Building Guidelines

Please download the guidelines for your event, sign and return to your events planner or manager.

In addition to building-specific guidelines that may affect your event, the University has general rules and regulations that apply to all student activity on campus regardless of venue. These regulations are dictated by the Office of Student Responsibility and Community Standards and can be found in the 2016-2017 Student Handbook.

Please note:

  • Do not assume receipt of the event request form equals confirmation. Your event is not confirmed until we notify you of approval.
  • Do not send out invitations, make fliers or programs, place rental orders or confirm catering until you have received confirmation that your event is approved.
  • We reserve the right to cancel your reservation if it conflicts in any way with the general policy of the University regarding special events. We also reserve the right to change reservations to other spaces with the understanding that, if possible, comparable facilities will be provided when the change is necessary.
  • You agree to be responsible for any damages to University facilities and/or property or injury to other people caused by using University facilities.

How to Make a Reservation

Faculty and Staff: Reserve Space for an Event on Campus

  1. Login into MySLU.
  2. Click on "Tools" tab.
  3. Click on "25Live Room/Event Requests.”
  4. Click on "Create an Event."
  5. Fill out the event wizard.
  6. Click "Submit" when finished.
  7. We will review your request and either confirm your event or contact you if there's a problem. Until we send a confirmation of your event, your reservation is only tentative.

Reserve Space for a Student Organizational Meeting

  1. Login into MySLU.
  2. Click on "Tools" tab.
  3. Click on "25Live Room/Event Requests.”
  4. Click on "Create an Event."
  5. Fill out the event wizard.
  6. Click "Submit" when finished.
  7. We will review your request and either confirm your event or contact you if there's a problem. Until we send a confirmation of your event, your reservation is only tentative.

Reserve Space for Student Organizational Tabling or an Organizational Event

  1. Login into MySLU.
  2. Click on "Tools" tab.
  3. Click on "25Live Room/Event Requests.”
  4. Click on "Create an Event."
  5. Fill out the event wizard.
  6. Attach the "approval certificate" to request. The certificate that signifies the Division of Student Development's approval of the event.
  7. Click "Submit" when finished.
  8. We will review your request and either confirm your event or contact you if there's a problem. Until we send a confirmation of your event, your reservation is only tentative. The student approval certificate must be attached to the tabling request or your event will not be booked.

We strive to accommodate specific building/room requests. However, you should read email confirmations carefully, as requested buildings/rooms are not always available. In those cases, we will place the event in a comparable space based upon your event needs.
