Accommodations Process

Students requesting academic accommodations are required to disclose documentation to Disability Services solely for the purpose of determining accommodations. Consultations between Disability Services and students are confidential.

To receive accommodations, a student must have a documented disability. If would like to request accommodations, please set up an appointment to meet with Disability Services via SLU Appointments. Prospective students may contact Disability Services. Students must complete an application and provide documentation.

Students are responsible for discussing their accommodations with each instructor. Only then will the instructor be able to accommodate the student in that class. Students do not need to disclose the nature of their disabilities, only their approved accommodations.

Documentation should be from a medical provider and should confirm the diagnosis, indicate how the condition impacts the student, list any ongoing treatment, and include any history. It should be as current as possible and be typed on the medical provider's letterhead.

Documentation is confidential.

Renewing Accommodations
Remember that accommodations must be renewed annually prior to fall semester. The cycle begins and ends each August. Students may download an Application for Renewal. Students continuing the same accommodations from previous semesters are welcome but not required to meet with a member of our staff. Students who would like to discuss or request other accommodations should set up an appointment to meet with Disability Services via SLU Appointments.

Students should remember that they must discuss their accommodations with each instructor to to be accommodated in the class. The discussion should identify how accommodations will work in that specific course. Students do not need to disclose their disabilities, only their reasonable accommodations. If instructors have specific questions, please ask them to contact Disability Services.

Viewing Approved Accommodations
Students with accommodations can view them in Banner. To review accommodations, visit MySLU [new window]. Select the Tools tab at the top and go to Banner Self-Service. Once you are in Banner, select the student tab. At the bottom of this page is "View All Approved Accommodations."

Disability Services Confidentiality
Student disability documentation and information is confidential.

Students need to share documented disability and related information only with Disability Services staff for the purpose of determining reasonable accommodations. Professors, academic advisors, and other staff do not need to know the specific disability; however, information about reasonable accommodations could be critical for instructors, advisors, or other staff with whom students are working.

Reasonable accommodations will be visible to instructors in Banner either at the beginning of the semester or when the student register for services; no other information will be visible.

Exceptions: In some situations, it may be necessary for Disability Services staff to disclose some aspect of a student's diagnosed information to a faculty member, academic advisor, other counselor, etc. if that disclosure will immediately support the SLU personnel in doing their job in a way that benefits the student. Such disclosure is legitimate within the Family Educational Rights and Privacy Act (FERPA) and the Saint Louis University FERPA Guide, which states that:

"Within the Saint Louis University community, only those members, individually or collectively, having a legitimate educational interest are allowed access to student education records and then only within the limitations of their need to know. These personnel in all academic and administrative offices of the University include academic personnel, students employed to perform research on behalf of the University and outside parties acting on behalf of Saint Louis University."

Furthermore: "If the University employee's scope of employment requires that the person know the information to do his or her job, then generally, disclosure is appropriate."

Disability Services staff will weigh each situation carefully and will share only information necessary to address the circumstance at hand. In most cases when information is disclosed to a SLU employee, it is for one of two reasons:

1) The student initially spoke to the Disability Services staff and asked that staff speak with the SLU employee.

2) The SLU employee contacted Disability Services to seek guidance on how to best support the student, but Disability Services makes every attempt to support SLU employees without such disclosure.

If Disability Services staff feels that revelation of some information will not improve how the SLU faculty or staff person will do their job or if the staff feels that a disclosure may lead to discrimination or hindrance of the student's educational rights, then we will not disclose any diagnosis information.

Discussion with Parents
Academic accommodations will not be discussed with parents unless the student signs an authorization. Even with this authorization, Disability Services staff will initiate contact with parents only when information from them is needed to facilitate reasonable accommodations.

Disability on Transcripts
Academic transcripts and academic accommodations are separate. Academic transcripts do not in any way indicate that a student received accommodations. Information will only be relayed outside of Saint Louis University with the written permission of the student.

Forwarding Files to Another Institution
Disability Services is happy to provide copies of accommodation records to students who will be attending another institution. This may be helpful in determining academic accommodations at the next institution. The student will need to provide the contact information of the location to send the files.

Study Abroad Accommodations
Accommodations provided to students within the United States are related to the Americans with Disabilities Act (ADA) of 1990. The ADA governs activities within the United States. Classes outside the United States may not necessarily allow students the same access to accommodations due to different laws. Students with disabilities who are weighing different campus options should consult those campuses about academic accommodations options.

For the SLU campus in Madrid, Disability Services at the Saint Louis campus can easily forward accommodations upon a student's request. It is still the student's responsibility to contact the counselor in Madrid to discuss the process there.

For other institutions abroad, documentation on file in the DS office will not automatically transfer. Determine who the contact is for the program abroad. Work with both Study Abroad and Disability Services on transferring information.

Once the documentation is sent, communicate with the contact abroad to determine any accommodations.
