POLICY
The
University
is
required
to
record
and
pay
non-exempt
hourly
staff
in
accordance
with
the
wage
and
hour
provisions
of
the
Fair
Labor
Standards
Act.
Time
actually
worked
by
hourly-paid
staff
is
documented
by
the
use
of
time
cards
and/or
automated
timekeeping
systems.
SCOPE
This
policy
applies
to
hourly-paid
employees
of
Saint
Louis
University.
PROCEDURE
All
hourly
paid
employees
not
using
an
automated
timekeeping
system
are
required
to
keep
a
complete
and
accurate
record
of
hours
worked
each
day
on
a
time
card
provided
by
the
University.
Employees
will
be
given
instructions
for
keeping
their
time
card
as
part
of
the
orientation
process
on
the
first
day
of
work.
They
must
record
the
actual
times
of
beginning
and
ending
work,
including
"time
out"
and
"time
in"
for
unpaid
periods,
such
as
meal
time.
The
total
number
of
hours
worked
each
day
must
also
be
recorded.
It
is
not
appropriate
to
simply
record
the
scheduled
work
hours
if
the
actual
work
hours
differ
from
the
schedule.
The
employees
signature
on
the
daily
time
card,
at
the
conclusion
of
the
pay
period,
certifies
that
the
time
recorded
is
accurate.
The
supervisor
is
also
required
to
sign
the
time
card
certifying
that
he/she
has
reviewed
and
agrees
with
the
time
reported
as
worked.
Any
intentional
or
willful
falsification
of
time
records
is
a
serious
violation
of
University
policy,
and
will
result
in
disciplinary
action,
including
the
possibility
of
immediate
discharge.
It
may
also
result
in
civil
and
criminal
prosecution.
Information
from
the
time
cards
will
be
transferred
by
the
timekeeper
to
the
time
sheet
(paper
or
electronic)
at
the
end
of
each
pay
period.
Special
care
should
be
taken
by
the
timekeeper
to
verify
the
accuracy
of
the
calculation
of
time
reported
for
each
day,
each
week,
and
for
the
total
pay
period.
A
conversion
table
for
partial
hours
reported
is
printed
on
page
two
of
this
policy.
When
the
timesheet
has
been
completed,
it
will
be
reviewed
and
approved
by
the
department
before
transmittal
to
payroll.
Times
cards
must
be
maintained
in
the
department,
as
official
payroll
documents,
for
three
years.
