Host Family Application and Payment Information

After submitting your non-refundable confirmation fee, you'll be able to apply online for host-family housing arranged by Saint Louis University.

Fee Information for Academic Year 2023-2024

You will be asked for your full name, date of birth and Banner ID, and will need to pay a housing application fee.

All applications for accommodation with a host family arranged by the University are processed on a first-come, first-served basis. When your host-family assignment has been finalized, you will receive your assignment and Housing Notification Summary with payment information.

Under Spanish law, students are considered minors until the age of 18. In order to obtain the appropriate visa and later residence in Spain, any student who is a minor will need a legal guardian who is also a legal resident of Spain. Consult the Spanish consulate in your country for details. Minors may not apply for host-family housing arranged by the University. We encourage minors to live in student residences.

Confirmation and Occupancy for Host-Family Accommodation Arranged by the University

Upon assignment of a host family, the University will send you your host family's address, links to the payment information and your housing agreement. In order to officially confirm your host-family assignment, you need to accept your housing assignment by going back to the Housing Portal.

Housing Agreement

I understand that I am responsible for knowing and following the information and norms contained in the housing norms (PDF).

I understand that I am responsible for contacting my host family at least two weeks prior to move-in day, stating my arrival details.

I agree to move in and move out of the host family house according to the dates on the academic calendar.

I agree both to abide by all housing norms and to act with sensitivity toward local customs. I understand that failure to do so may result in disciplinary sanctions, including suspension or expulsion from host family housing arranged through the University, in which case I will nonetheless remain liable for the full payment of the semester's housing bill. If I am a visiting student, my home university may be notified of any disciplinary sanctions imposed.

I understand that I am responsible for making my own housing payments according to indicated deadlines, knowing that failure to observe payment deadlines will result in financial penalties and/or other sanctions, including the possibility of expulsion from host family housing arranged through the University. Furthermore, I understand that once inside the host family arranged by the University, I am liable for full payment if I remain enrolled in the SLU-Madrid campus, even if I am suspended or expelled from the housing system due to disciplinary actions. I also understand that housing is provided each semester or summer session from the published move-in date until the published move-out date (i.e., until the day following the last scheduled day of exams). I also understand that if I am living with a host family in the spring term, I may leave my personal belongings with the host family, and I agree I must arrange an alternative accommodation during the Semana Santa break. The Semana Santa break move-out and move-in dates are marked on the SLU-Madrid Spring calendar.

If I have any food restrictions, it is my responsibility to work these out with the host family, to choose a host family that offers kitchen privileges or that hosts students with food restrictions. I understand that I must contact my host family and advise them directly of any special dietary requirements as soon as I receive my housing assignment, and definitely at least two weeks before arriving in Madrid. Food restrictions must be provided with a doctor's note.  If I choose to release dietary needs information on the Housing application or to the housing coordinator, by accepting this housing agreement, I give my consent for SLU-Madrid to release this specific dietary information to the prospective host family/ies.

I understand that unless otherwise specified, the host family I am assigned to will receive information such as my: name, email, arrival details, nationality, dietary needs and allergies, all of which are necessary in order to provide me this service. In addition, upon request from the host family, SLU may provide my passport number for use in the host family's tax return.

I am aware of the Saint Louis University Privacy Policy.

In order to confirm your reservation, you must make the semester payment in full by the date indicated on the housing notification sheet. If, for some reason, you are unable to make payment on time, contact the Office of Finance at finance-madrid@slu.edu. If you have questions about your assignment, contact the SLU-Madrid housing coordinator at housing-madrid@slu.edu. Prompt payment allows us to make housing assignments quickly and fairly.

The academic calendar indicates the official housing move-in date for students living with host families arranged by the University. Students who arrive early must make their own arrangements for accommodation until the move-in date. Those who will be arriving late should inform the housing coordinator.

Payment Information

Host families are dependable and kind. They are to be respected and not to be treated as temporary accommodation while you search for other housing options. Please read through the refund policies prior to applying for housing with a host family arranged by the University.

Application Fee

Payment of the non-refundable housing application fee may be made online via Flywire; personal check, bank draft or international money order; or wire transfer.

Payment Plans

The housing summary is sent by email directly to you. If your parent, guardian or home university is responsible for the payment of housing, it's your responsibility to make the third party aware of the summary and of the payment schedule.

Payment for housing, as well as for the application fee, is always to be made directly to SLU-Madrid, regardless of where or through whom you pay tuition.

The following housing payment plans — with accompanying payment deadlines — are available as indicated:

Payment in Installments for Students Awaiting Financial Aid

Payment dates due for students awaiting arrival of U.S. federal or home university institutional financial aid. This option is only available for fall and spring terms.

Fall 2022

  • Aug. 1 (400 euros due)
  • Oct. 4 (50%  due)
  • Oct. 18 (50% due)

Spring 2023

  • Dec. 1 (400 euros due)
  • Feb. 7 (50% due)
  • Feb. 21 (50% due)

Note that failure to make the initial payment by the indicated deadline may result in the cancellation of the housing reservation.

Although housing applications will be received and processed on an ongoing basis, housing preferences are respected according to the submission date of the application. Students who apply for housing after the first payment deadline must make the first payment immediately upon receipt of their housing assignment.

Those who choose to pay in installments are subject to a 20 euros penalty fee for any and each payment not made by the indicated deadlines.

Payment Method

Flywire

You may pay online using Flywire by going to mySLU.edu-Madrid Student Housing. You'll be required to provide your student ID number and birth date in order to log into the housing payment page.

Students may make payments using Flywire. Flywire accepts payments from any country — typically in your home currency and can be made using a credit card or bank transfer.

Create a booking with Flywire every time you need to send money to SLU-Madrid. For more information, you can view videos about Flywire and how to make payments.

After you've made your payment, log back into Flywire's website to review the status of your payment. SLU-Madrid will be notified once Flywire has guaranteed the funds.

Housing Payment Refunds (Host Family Arranged by the University)

As indicated above, the housing application fee is non-refundable; however, the application fee of an admitted student who defers enrollment in the University will be kept as a credit on the student's account for one full academic year, after which it is forfeited and considered non-refundable.

Students are eligible for a full or partial refund of their housing payment/s according to the following guidelines:

  • Students may receive a full refund of payments made toward the upcoming term's housing summary, if prior to the official confirmation date, they inform the housing coordinator in writing of their intention not to move into host-family housing arranged through the University.
  • Students may receive a partial refund of the semester's entire housing summary according to the timetable and percentages indicated below, if they officially withdraw from the University during the term.

  • Leave host-family housing arranged through the University after having taken occupancy but remain enrolled at SLU-Madrid.
  • Are suspended from host-family housing arranged through the University for disciplinary reasons for a period of time.
  • Are expelled from the University or host-family housing arranged through the University for disciplinary reasons.

Financial Holds

Any student who is in arrears to the University either for tuition or housing in the course of the semester will be so notified, with the indication that failure to make payment according to an acceptable financial plan jeopardizes the student's continued enrollment.

Students who are in arrears to the University on the final class day of a given semester for any part of either tuition or housing — and who have not prior to that date worked out a detailed financial payment plan that is acceptable to the Office of Finance — will have for the following semester any registration and housing assignments withdrawn.

In order for a student to be able to register or request a housing assignment for the following semester, he or she must have settled all debt to the University or must have worked out a detailed financial plan that is acceptable to the Office of Finance.
